Terms of Service
Effective September 9, 2026 · Version 2026-09-09.1
These terms govern the Sea Provisions crew app, shore portal and related services provided by Pantry Provisions Inc., a Wyoming corporation ("Sea Provisions", "we", "us"). Please read them before using the service. If your organization has a separate signed agreement with us, that agreement controls any conflict for the services it covers.
1. Who may use the service
The service is intended for adults authorized to manage or assist maritime provisioning. You must be legally able to enter into an agreement and authorized to use the relevant vessel or fleet account. If you act for an organization, you must have authority for the actions you take on its behalf.
2. Accounts and information you provide
Public sign-up creates a separate vessel workspace after email verification. By completing sign-up, you confirm that you are at least 18, are authorized to create that workspace and accept these terms. Existing crew members should use their organization's invitation. Creating an account does not authorize a payment or subscription charge.
Provide accurate information, keep it current, protect credentials and share helper links only with intended recipients. Tell us promptly if access is compromised. Administrators are responsible for granting appropriate roles and removing access when someone leaves. Do not access another vessel's or organization's information without authorization.
Only enter personal information about others when you have an appropriate legal basis and have provided required notices and obtained any required permissions. Limit dietary and allergy information to what is needed for provisioning. Do not upload medical records, payment-card details, government identifiers or unnecessary sensitive information into free-text notes. See our Privacy Policy and Consumer Health Data Privacy notice.
3. Planning assistance and food safety
The captain, cook and responsible provisioning personnel must verify ingredient labels, allergen statements, cross-contact risks, quantities, drinking water, storage capacity, refrigeration, expiry dates, handling and emergency reserves. Confirm substitutions and final products with the retailer. Seek qualified medical or dietary advice where needed; the service does not provide medical advice or replace professional judgment or maritime safety obligations.
4. Retailers, prices and purchasing
Sea Provisions helps you prepare lists and, when you authorize it, add products to a connected Kroger-family cart. Adding to a cart does not complete checkout or guarantee a reservation, stock, price, pickup window or delivery. Review the retailer cart and complete payment with the retailer. Retailer prices, taxes, fees, substitutions and availability may differ from plan estimates, and those differences can affect the budget.
The retailer sells and fulfills its products and handles payments, order changes, cancellations, returns and refunds under its own terms. Kroger and other retailer names belong to their respective owners. A retailer connection does not imply that the retailer sponsors Sea Provisions.
5. Fees and commercial agreements
When fleet card subscriptions are available, software pricing is US$79 for the first subscribed boat, US$69 each for subscribed boats 2–5, US$59 each for subscribed boats 6–20, then US$49 for each additional subscribed boat, charged as one fleet total every 30 days until canceled. Each rate applies only to boats in that band: five boats cost US$355, and ten cost US$650 every 30 days. Each successful full fleet payment purchases one vessel-bound voyage credit for every boat included in that subscription, covering up to 30 people fed daily per boat. Count the maximum people fed on any one day; replacing crew on a rotation does not itself increase that count. Contact us for more than 30 people on one boat or longer assignments.
Buying a credit does not start voyage coverage. One credit is used when you explicitly activate a fixed window of 30 consecutive calendar days for your vessel, starting on the chosen voyage departure date. The voyage must fit wholly within that window. Preparing a draft, creating an account or editing a plan does not activate a window. All departures wholly within those dates, replenishments, port calls, plan revisions, swaps, receiving entries, reprints and crew rotations for that boat are covered. Closing a voyage record does not cancel its coverage. For longer assignments, contact Support before activation to arrange coverage.
Every subscribed boat includes the available vessel provisioning workflow: budget planning, onboard stores, dietary requirements, shopping lists, supported retailer cart handoff, crew collaboration, PDF plans, receiving and vessel cost records. Fleet credits cover up to 30 people per boat, and that allowance must cover the most people fed on any day in the window. Existing credits bought under earlier crew pricing keep their original allowance and terms. Contact Support before planning above your credit’s allowance or arranging different coverage.
Each boat account holder must accept a fleet invitation before its boat can be included. Fleet membership shares the boat's name, membership and billing eligibility with the fleet owner; it does not grant access to another boat's operational workspace. The fleet owner chooses the paid boat list and accepts the recurring fleet total. Boats with unused launch credits use those first and are not included in paid billing automatically. A boat may belong to only one billing fleet at a time. Fleet discounts count subscribed boats, not every boat with a free account.
The subscribed boat list stays fixed for the subscription. Adding another member does not change the charge or include that boat in the paid list. To change the paid boat selection, cancel future renewals and start a new subscription with the revised list after the current subscription ends. There are no automatic quantity changes or prorated purchases in this flow. Credits remain attached to their original boats, including after cancellation.
Unused credits roll over without a use-by date. They remain attached to the account’s vessel when you cancel a paid subscription. Refunded or reversed payments do not retain credit value; any affected credit or coverage may be removed. Credits pay for software provisioning coverage, not groceries or a cash balance. Past records remain available when coverage ends, subject to account closure and the other terms of this service.
Card subscriptions and cancellation
Card subscriptions are offered only when enabled in your vessel account. Until then, contact Support about paid access. Public price information alone does not activate payment. Creating an account, accepting these general terms or using up free credits does not enroll you in a paid subscription.
After your free credits, you can separately choose a paid subscription. Checkout shows your selected boats, fleet price, applicable taxes, first charge and recurring interval before you confirm. By expressly accepting that subscription, you authorize Stripe to save your payment method and charge the displayed total initially and every 30 days until canceled. Charges continue even when your boat is idle or you have unused credits. A successful full charge adds one credit per subscribed boat; it does not automatically activate a voyage window. This is a 30-day billing cycle, not a calendar-month subscription.
To stop future renewals, open Manage billing in your fleet owner's account and cancel before the next renewal shown there. You can also update your card and view invoices there. Cancellation takes effect at the end of the current paid billing period, and unused purchased credits remain available. Cancellation does not automatically refund payments already made. Contact Support about a billing error or refund request; applicable legal rights remain unchanged. If you cannot access Manage billing, contact Support for cancellation assistance.
A failed payment does not add a paid credit. Stripe may retry the payment or ask you to authenticate or update your card. You can keep using credits and coverage already valid on the account; a pending or failed charge does not itself grant more coverage. Subscription cancellation does not close your account or erase its information.
Prices are in US dollars for software only. Groceries, retailer charges, pickup, delivery and any applicable taxes are separate. Review the retailer’s own checkout and terms for those purchases. Existing accounts are not enrolled in a new paid plan by this pricing update; any change to their commercial arrangement requires separate agreement. Existing free-credit grants and grandfathered access are preserved unless you separately agree to a different arrangement.
September 2026 launch offer: five free voyage windows
New vessel accounts whose email verification and account creation are completed from September 7, 2026, at 7:45:20 p.m. through September 30, 2026, at 11:59:59 p.m. Pacific Time (America/Los_Angeles) receive their first five software voyage windows free. Our server records completed account creation to determine eligibility. Requesting a verification email before the deadline is not enough if account creation is completed after it. There is no payment card or paid purchase required to receive the offer.
One grant of five free windows is attached to each qualifying new vessel account. Joining an existing vessel through a crew invitation, adding team members or creating duplicate accounts for the same vessel does not earn an additional grant. Each free window covers that vessel for a fixed 30 consecutive calendar days and up to 30 people fed daily, in any fleet size. An increase within that 30-person allowance does not consume another credit. More than 30 people requires a separate quote and is outside this offer.
One credit is used only when you explicitly activate a new covered window. Drafts and changes within an existing window do not use another credit. Unused credits have no use-by date; September 30 is the qualification deadline, not the deadline to take your voyages. Free credits apply to software coverage for the account’s vessel and do not pay for groceries or retailer services. After the five credits are used, you choose whether to separately opt into a paid subscription when available. The free offer never converts automatically to paid renewal, and you do not need to cancel anything to avoid a charge unless you separately subscribe. Unused free credits retain their original no-expiry terms; paid enrollment or cancellation does not remove them.
6. Permitted use and ownership
You may use the service for your authorized provisioning work, including saving and sharing plans for that purpose. You retain rights in information you provide. You give us permission to store, process and display it only as needed to provide the service and as described in the Privacy Policy. We retain rights in our software, service design and branding; third-party material remains subject to its owner's rights.
Do not use the service unlawfully, upload harmful content, interfere with other users, bypass access controls, harvest personal information or disrupt the service. Report security concerns privately through Support.
7. Availability and changes
We work to maintain the service, but outages, maintenance and third-party failures can occur. Offline edits are not synchronized until a connection is available and the app confirms success. Keep suitable operational copies and contingency plans for a voyage. We may change the service, and will provide appropriate notice of changes that materially affect an agreed service.
8. Ending access and deleting information
You may stop using the service and request account closure at any time through Privacy requests & account deletion. Your organization may manage your access. We may restrict access where reasonably necessary to address a security threat, unlawful use or a material breach of these terms, providing notice and an opportunity to resolve the issue where appropriate. Closure does not itself cancel a retailer order or a separate service agreement. Personal information is handled under our Privacy Policy and applicable law.
9. Warranties and legal rights
Except for promises in a separate signed agreement and rights that cannot legally be excluded, the service is provided as available without a guarantee of uninterrupted or error-free operation or suitability for a particular voyage. Nothing in these terms excludes liability that cannot be excluded by law, including liability for fraud, or limits mandatory consumer or privacy rights. These terms do not require arbitration or waive class-action rights.
10. Changes, concerns and contact
Changes will be dated and published here. We will provide notice before material changes take effect and obtain agreement where required. Changes do not retroactively change a dispute that arose before their effective date. Contact asherduben@pantryprovision.com to raise a concern, request help or contact Pantry Provisions Inc. about these terms.
